Step 1
Artwork & Digitizing
Embroidery begins with digitizing, which is the process of converting your logo or design into a stitch‑ready embroidery file that my machines can read.
What you should know:

Digitizing is not automatic—it is a manual, technical process

Each design is customized based on size, fabric type, and placement
-
A logo that works on paper or screen often needs adjustments to stitch cleanly
What I need from you:

A high‑resolution logo file (JPG, PDF, or high‑quality PNG preferred)

Desired size and placement (chest, hat front, sleeve, etc.)
Important notes:

Digitizing is a one‑time setup fee per design
-
Existing embroidery files may still require edits to meet my quality standards
-
Tiny text, thin lines, and heavy gradients may need simplification
Digitizing Fees: Starts at $10 for text/names. Logos & Designs start at $25. Quoted per job.

Step 2
Digitized File Inspection & Test Stitching
Once your logo is digitized, the file is inspected and tested to ensure it will stitch cleanly and professionally.
At this stage, I:

Review stitch direction, density, and sequencing

Check for problem areas (thin lines, small text, overlaps)
-
Run a test stitch of the digitized file when needed
This step ensures the digitized file performs correctly before full production begins.
Why this matters:

A digitized file can look correct on screen but behave differently when stitched
-
Testing allows for refinements that prevent issues across the entire order
-
It protects both quality and consistency, especially on hats and specialty items
Any necessary adjustments are made here so the final file is production‑ready.

Step 3
Stitch Count Confirmation & Pricing
Once the digitized file is approved and finalized, the stitch count is confirmed.
Stitch count represents:

The total number of stitches in the design
-
The amount of machine time required per item
This is what pricing is based on.
Important notes:

The same logo will have different stitch counts at different sizes
-
Fabric type and placement affect how a design is built
-
Final pricing is calculated after the file is proven and approved
This step ensures accurate pricing with no surprises once production begins.

Step 4
Pricing Breakdown
Embroidery pricing typically includes:

Digitizing (one‑time, per design)
-
Stitch count / embroidery run cost (per item)
-
Garment cost (if provided by BW Embroidery)
-
Any add‑ons (personalization, topper stabilizer, specialty placement)
Things that affect pricing:

Stitch count and logo size
-
Garment type and thickness
-
Quantity ordered
-
Placement difficulty (hats, sleeves, bags, etc.)
I do not use hidden fees—everything is outlined before approval.

Step 5
Production
Once approved and paid, your order moves into production.
Production includes:

Hooping and stabilizing each garment
-
Stitching under controlled machine settings
-
Trimming, backing, and finishing
-
Quality checks on each item
Production timelines vary based on:
-
Order size
-
Garment type
-
Current production schedule
Rush services may be available upon request, with a fee depending on desired time frame.

Step 6
Final Quality Control & Finishing
This is the hands-on stage after embroidery is complete—where each item is cleaned up, finished properly, and packaged.
Quality control & finishing typically includes:

Snipping jump threads and cleaning up the stitch area
-
Trimming and removing stabilizer (including cut-away/tear-away as applicable)
-
Removing any topper stabilizer (water-soluble) if used
-
Heat sealing the design to prevent any fraying
-
Final inspection for placement, readability, and overall stitch quality
Packaging includes:
-
Folding or shaping the item so it presents cleanly
-
Protecting the embroidery from lint, moisture, and friction
-
Bagging and labeling orders for easy pickup/delivery
This step is what takes an item from “fresh off the machine” to client-ready.

Step 7
Pick-Up & Delivery Options
Once items are finished, orders are prepared for a smooth and organized handoff.
Order preparation includes:

Garments professionally folded and grouped by size for easy distribution
-
Items boxed or bagged based on order size and item type
-
Each order clearly labeled with your name or business name
-
Inclusion of a QR code for leaving a review (always appreciated)
Delivery & pickup options:
-
Convenient Pickup Bin (Primary Pickup Method): Once your order is completed and packaged, it is labeled with your name or business name and placed inside my waterproof, designated pickup bin. The pickup area is camera‑monitored for added security. You’ll receive a text or email when your order is ready, and you may pick it up 24/7, entirely at your convenience—no need to coordinate schedules or appointment times.

Shipping: Orders may be shipped via UPS or USPS; tracking information is provided once shipped

UBER Courier Delivery: Local courier delivery is available upon request. Clients provide a preferred delivery time window when they are available to meet the courier. Once the courier picks up your order, you’ll receive a live tracking link with real-time trip updates until delivery is complete.

Quantity Requirements:

Order one item or hundreds!
The order quantity is a key factor in pricing.
Fuzzy, Sherpa, Fleece...
Items that are fluffy and textured, will require either a basting underlay stitch along with a Water Soluble Topping stabilizer. Most of it will be removed, however if there are any small pieces remaining, they will dissolve when washed.
Rush Orders:
Urgent production can be accommodated!

Keeping Logo on File:
Of course!! Once a logo is digitized, the file is stored on my embroidery computer. It's available, at a click of a mouse, anytime you want to place an order!
Provided Items:
Yes! I accept outside items. Nearly anything can be embroidered, although there's some that cannot. I'll need to approve it first;
text or email a picture to me!
